Leave of Absence

A student who wishes to take a leave of absence writes a letter to the Dean of Students requesting the leave of absence and states the reason(s) for his or her request.

The Dean of Students receives the letter and forwards it to the financial aid office for processing.

The Financial Aid Office receives the letter and verifies what type(s) of financial aid the student is receiving. If the student is receiving Title IV aid, the financial aid office makes an appointment with the student to discuss the Title IV implications of taking a leave of absence. At the meeting, the financial aid representative provides the student a written document explaining the implications of a leave of absence, including the effects of the student’s failure to return: entry into repayment status, the necessity of returning Title IV funds (if applicable), the possible exhaustion of some or all of the student’s grace period [CFR 668.22(d)(viii)], and that failure to resume attendance at or before the end of the leave of absence will result in the Institute's changing of the student's status to that of a withdrawal in accordance with federal regulations [CFR 668.22(d)(viii)(2)]. The financial aid representative will also remind the student that other aid sources may be impacted in accordance with federal regulations.

If the student wishes to pursue the leave of absence, the financial aid office obtains the student’s signature on the form "Leave of Absences and Financial Aid" and prepares a letter for the Dean of Students' signature. The Institute will award leaves of absence by semesters only, i.e., if a student requested a leave of absence after a semester has begun she or he must return at the beginning of the following semester (or at the beginning of the same semester a year later if a longer request is made).

The financial aid office then forwards the "Leave of Absence Letter" with the student’s file that includes the signed "Leave of Absences and Financial Aid" form to the Academic Dean for review and action.

The Academic Dean reviews the student’s file including the request for a leave of absence, ensuring that financial aid counseling has been completed and that a "Leave of Absences and Financial Aid" form is signed by the student. The Academic Dean determines the appropriateness of the student’s request for a leave of absence. If the leave of absence is granted, The Academic Dean signs the letter. If she or he denies the leave of absence the Academic Dean dictates an appropriate denial letter to Executive Assistant and returns the signed letter and student’s file to the Executive Assistant.

The Executive Assistant mails the letter to the student and sends copies of the letter to the financial aid office, the business office, and the registrar and returns the file to the financial aid office.

The financial aid office files a copy in the student’s financial aid file.
